Activity Notification Whilst the filling out of these forms can seem like a pain at times, we owe it to the youth members in our care to ensure that the activity is safe. It is easy to say that nothing will go wrong or that the forms do not apply to this activity but the unexpected does and has happened. At the very least activity notification is a process of reporting which can improve your Scouting. Improved information can reduce insurance premiums or result in greater resources being applied to an activity area. By sending notification to the LAC (Local Area Coordinator), these local experts may be able to advise of problems with your plan like track closures, new developments, fire reduction exercises or the bikie gang reunion at your chosen camp ground. The Region office can provide contact information for LACs. Activity notification applies to most activities outside the Scout Hall from Patrol Leader to the Chief Commissioner. The Branch Activity Notification Procedure has four key objectives: 1. Communication of activity information to parents. 2. Provision of a reliable and effective mechanism for rescue/assistance, if required. 3. Supply of timely and adequate information to: a) Scout authorities, b) Police and other rescue authorities. 4. Support for Activity Leaders, including access to local information and reminders of policies, procedures and other requirements. Application Content Copies to Part 1 - Parent Advice Applies to most activities, which do not occur at the Scout Hall. Parents have a legitimate concern for their children’s welfare and must be provided with adequate information about all activities. This form provides key contacts in case parents have concerns. Direct contact between parents and the police/media is undesirable but will occur if parents do not have a reliable “Scout” contact point. The upper section of the form becomes a parent reference document showing information about start and finish times, locations, cost and contact details. The lower section, which is signed and returned by the parents, contains the parents contact details and the youth member’s medical information. The form is given to Parents or Guardians who must then return the “lower half” permission section to the Activity Leader before the youth member can participate Part 2 - Activity and Rescue Information Also applies to all outdoor overnight activities and all air, alpine, bushwalking, rock related or water activities as well as any other potentially dangerous activities information on the route and potential escape routes, which might assist a party providing assistance finding your group. and some check list items which serve as reminders to the Activity Leader.
